Our Process

No surprises. No ambiguity. Here is exactly what working with Top Systems looks like — step by step.

From your first message to goods loaded and on the water, every stage is documented, reported and managed by our team. You always know where your order is and what condition it is in.

Same business day response to all inquiries
📋
Every order documented — pre-production and final reports
💰
Commission only — nothing paid until PO is confirmed
🔄
Your protocol or ours — we adapt, not the other way around
Before We Begin

What you can expect from day one — and every order after.

We have managed furniture production for US, Canadian and European brands for over 10 years. In that time, we have learned what makes a sourcing partnership work — and what causes it to break down.

The answer is almost always transparency. You should always know what is happening with your order — not because we say so, but because we build documentation and reporting into every single step of our process.

Every engagement follows this process. Some steps move faster depending on your product and factory — but nothing is skipped.

First
Contact
You Tell Us What You Need
Day 1

Send us a message — through our inquiry form, email or WhatsApp. You do not need a completed specification sheet at this stage. A product category, rough volume and target market is enough to start a useful conversation.

Tell us: what product category, approximate quantity, target retail channel and any compliance requirements you have
Tell us: your country and where the goods will be sold — US, Canada, Europe, Australia or elsewhere
Tell us: any specific factory country preference — Malaysia, Vietnam or Indonesia — or leave it open and we will recommend
Our commitment: We respond the same business day — never longer than 24 hours. We will confirm whether we can help and what the next step looks like.

Discovery
Call
15-Minute Discovery Conversation
Day 1–3

A short call — your time zone, your schedule — to understand your requirements clearly before we start any factory work. We ask the questions that help us match you to the right factory quickly and accurately.

Product specifications — materials, dimensions, finish, style direction
Target price point and annual volume estimate
Retail compliance requirements — do you have a specific inspection protocol?
Timeline — when do you need goods delivered?
Any existing factory relationships we should know about
📋
After the call: We send you a brief summary of what we discussed and confirm whether we are moving to factory identification. No commitment required from you at this stage.

Factory
Matching
Factory Identification and Recommendation
3–5 Business Days

We identify the best-matched factories from our verified network across Malaysia, Vietnam and Indonesia. We present you with 2–3 factory options with pricing ranges, production capacity, lead times and our assessment of each.

Factory profile — location, capacity, specialisation, years of relationship with us
Indicative pricing range per unit at your target quantity
Production lead time estimate — from PO to ready-to-ship
Our honest recommendation — which factory and why
📄
You receive: A written factory recommendation document. You choose which direction to pursue. We begin the sampling process only after your confirmation.

Product
Development
Design Review, Modification and Sampling
3–6 Weeks

We review your design against the selected factory's capability and recommend modifications that improve manufacturability without compromising your aesthetic or quality intent. Sampling is then arranged and managed by our team.

Design brief reviewed — we flag any issues with material, construction or cost before sampling begins
Sample arranged with factory — all communication managed by us
Sample physically inspected by our team before it is sent to you — we document issues you need to know about
Assembly instructions drafted during sampling stage — not as an afterthought
💡
Sample cost: You pay the sample cost upfront. This is refunded in full when you place a confirmed production order.
5
Order
Confirmed
Purchase Order Confirmed — Commission Activated
Upon Your PO

Once you approve the sample and confirm your purchase order, production is scheduled with the factory. This is also the point at which our commission — is activated on the PO value.

Production schedule confirmed with factory — lead time locked
Sample cost refunded — credited against your order
Commission rate confirmed — based on PO value and product complexity
Pre-production inspection scheduled — before bulk production begins
🎯
Important: You pay nothing to us until this point. All conversations, factory identification, sample review and design work up to PO confirmation is part of our partnership — not charged separately.
6
Pre-Production
Report
Pre-Production Inspection Report Submitted
Before Bulk Production

Before bulk production runs, our team conducts a pre-production inspection at the factory. This covers material confirmation, component review, first article inspection and production readiness. The full report is submitted to your team.

Material confirmation — what is actually being used vs what was approved
Component and hardware review — quality and specification check
First article inspection — first production unit checked against approved sample
Production readiness assessment — is the factory set up correctly for your order?
📋
You receive: Written pre-production report with photos. If issues are found, we resolve them before bulk production — not after 10,000 units are built incorrectly.
7
Production
Monitoring
Production Monitoring and Progress Updates
Throughout Production

We maintain regular contact with the factory throughout production — checking timeline, managing any issues that arise and keeping you informed. You should never have to chase us for an update.

Regular factory contact — we are the communication bridge so you do not have to manage time zones, language or factory dynamics
Timeline monitoring — if production is running behind, we tell you immediately and manage the recovery
Issue escalation — any quality or specification deviation is escalated to you with our recommended resolution
📞
Our approach: We give you realistic updates, not optimistic ones. If there is a problem, you hear it from us first — with a proposed solution, not just bad news.
8
Final
Inspection
Final Inspection Report with Full Photography
Before Loading

Before goods are loaded into the container, our team conducts a full final inspection. Random unit sampling, finish and construction quality, packaging verification, quantity count and labelling compliance. Full photography included.

Random unit sampling — inspection rate and AQL level applied per your protocol or our standard
Finish, construction and hardware quality check on inspected units
Packaging verification — carton condition, labels, barcodes, inner packaging
Quantity confirmation — count verified against PO
Your retailer's inspection protocol applied — Walmart, Canadian Tire, Sam's Club or other
📸
You receive: Complete final inspection report with full photo documentation — submitted before loading confirmation. You approve shipment based on the report, not on faith.

Shipping
Coordination
Container Loading and Shipping Coordination
Upon Inspection Approval

Once the final inspection report is approved, our shipping team coordinates container booking, loading supervision and all export documentation. You work with your own freight forwarder — we manage the origin side.

Container booking coordinated with your freight forwarder
Loading supervised by our team — loading photos provided
Export documentation prepared — commercial invoice, packing list, bill of lading coordination
Shipment confirmed — booking reference and ETD shared with your team
🚢
Trade terms: FOB · TT payment · All shipments. Once goods are loaded and the vessel departs, the shipment is in your freight forwarder's hands for the ocean leg.

Ongoing
Partnership
Ongoing Partnership — Every Order, Every Time
Continuously

We remain your permanent point of contact with the factory. For repeat orders, we carry the institutional knowledge of your product, your standards and your retailer requirements — so each order builds on the last, rather than starting from zero.

Factory relationship maintained — we are the ongoing bridge between your brand and your factory
Repeat order management — specifications and standards carried forward, no need to re-explain
New product development — we proactively bring you relevant new opportunities from our factory network
Annual review of factory performance — we tell you if a factory relationship is degrading before it becomes a problem
🤝
The goal: To be the Southeast Asia partner your brand builds around — not a service you use once and reconsider. Our best client relationships are measured in years, not orders.

Add your real factory and inspection photos here.

Replace these placeholders with photos from your actual work — factory visits, inspections in progress, loading supervision. Real photos build more trust than any written content.

Inspection Protocol

Your protocol. Our process. Either way, everything is documented.

One of the most common questions we hear is: "Do we need to provide an inspection checklist or do you have one?" The answer is: both work. Here is how.

Many major retailers require suppliers to use a specific inspection protocol — and failing to follow it can result in receiving chargebacks or rejected shipments. We know the major retail protocols and apply them precisely.

Which inspection protocol do you use?
Your Protocol
We follow yours exactly
If your retail channel — Walmart, Canadian Tire, Sam's Club, Costco, Rona or any other — requires a specific inspection protocol, we apply it precisely. Send us your protocol document and we implement it for every order.
Our Protocol
We use our proven process
If you do not have a formal protocol yet, we apply our own documented inspection process — developed over 10+ years of managing inspections for US and Canadian furniture brands. We can also help you develop a custom protocol for your brand.

Before You Contact Us

What helps us move faster. What you do not need to have ready.

Good to have from the start
What Speeds Things Up
  • Product category and rough description
  • Target quantity per style or SKU
  • Target retail channel or end market
  • Price range you are working toward
  • Delivery timeline or retail program date
  • Any compliance requirements from your retailer
Even two or three of these help us identify the right factory and give you useful initial pricing faster.
Helpful but not required upfront
What Can Come Later
  • Detailed technical drawings or CAD files
  • Material specifications and finish codes
  • Packaging requirements and labelling specs
  • Retailer inspection protocol document
  • Previous supplier or factory information
  • Assembly instruction drafts
We will ask for these as the project develops. You do not need everything perfect before reaching out.

  • Technical modification recommendations
  • Inspection checklist (if you have no protocol)
  • Assembly instruction creation
